Cancellation & Refund Policy

This policy explains how to cancel or transfer a registration for a ThoughtX conference, and when refunds apply. It forms part of our Terms & Conditions.

1. Transfers (Recommended)

Can't make it? You can transfer your pass to a colleague. Transfers are permitted once per registration, subject to administrative conditions. Just let us know the new attendee's details.

2. Refunds on Cancellation

If you need to cancel, written notice is required by email. Refund schedule:

Notice before the conferenceRefund
12 weeks or more100% refund
Between 8 and 12 weeks50% refund, or transfer to a future conference
Less than 8 weeksNon-refundable (transfer to a colleague still available)

3. How to Request

Email contact@thoughtxn.com with your name, the conference and your order reference. Approved refunds are returned to the original payment method once processed.

4. Non-Refundable Items

Any third-party costs (for example travel or accommodation booked separately) are non-refundable.

5. Changes or Cancellation by ThoughtX

If we cancel a conference, registered delegates will be offered a transfer to the rescheduled date or a full refund of the registration fee. We are not responsible for travel or accommodation costs.

6. Force Majeure

Where a conference is disrupted by events beyond our reasonable control, we will make reasonable efforts to reschedule or offer a credit; refunds in these circumstances are at our discretion.
